Position : Property Management Coordinator

Work Hours (Client) : Monday–Friday, 8:00 AM–5:00 PM CST

Holidays : TBD

Pay Range : $2500 - $3000 USD/month (varies based on skill set and experience level)

Location of Search : Latin America

We manage a fast-growing portfolio of retail shopping centers across the U.S. We’re looking for a remote operator to support our Property Management team behind the scenes. This role is perfect for someone who thrives in a process-driven environment and wants to help run professional, efficient properties—without ever stepping foot on-site. 

 

You’ll be the steady hand keeping vendors, tenants, leases, and property data in sync. You’re not a “task doer”—you’re a system builder, deadline tracker, and trusted team player.

 

Duties and Responsibilities:

 
  • Assist the lead Property Manager in managing day-to-day operations for a portfolio of 10–30 commercial properties 
  • Communicate with tenants about signage, repairs, trash service, parking, compliance issues, etc. 
  • Coordinate with vendors and the Maintenance Coordinator to dispatch work orders and confirm completion
  • Input lease data and tenant changes into Rent Manager, including rent escalations, renewals, and lease abstracts
  • Track COIs, lease expirations, rent increases, and critical dates
  • Prepare and update reports: rent rolls, open WOs, vendor lists, tenant logs 
  • Support CAM reconciliations and budget prep by organizing docs, contracts, and expense logs
  • Set up new properties and tenants in the system 
  • Ensure files, leases, invoices, and communication logs are clean, current, and organized
  • Flag capital needs, deferred maintenance, or lease violations to the PM 
  • Handle utility setups, vendor onboarding, and basic compliance filings
 

Minimum Requirements:

 

Language requirement: Excellent English and Spanish Communication Skills

Education: Bachelor's Degree (ideally)

Experience: 3+ years of related experience 

Industry: commercial property (required)

 

YOU’LL SUCCEED HERE IF YOU:

 
  • Have experience supporting commercial property management, especially retail 
  • Are fluent in Rent Manager (required), Google Drive, Excel, and modern project tools (ClickUp, Asana, or similar) 
  • Thrive in a remote, self-managed environment with clear outcomes and deadlines
  • Communicate clearly and professionally via email, Slack, and Zoom 
  • Don’t just follow SOPs—you improve them 
  • Are dependable, detail-obsessed, and always two steps ahead 
  • Have high-speed internet and a distraction-free workspace 
  • Are available Monday–Friday, 8:00 AM–5:00 PM CST
  • Must hae managed at least 5 retail shopping centres

BONUS POINTS:

  • You've supported a Property Manager or worked as an Assistant PM for retail centers 
  • You’re familiar with CAM reconciliation, triple-net leases, or NNN financials 
  • You’ve built trackers, checklists, or dashboards to improve team efficiency 
  • Experience with Property Meld, Zego, AvidXchange, or similar tools 
  • Fluent in Spanish (written & spoken)
